Your data, guarded like it is ours

Privacy Policy

Privacy is the whole job when you handle other people's inboxes, calendars, and client lists. Here is exactly what we collect, what we do with it, and what we will never do.

Effective date: September 28, 2026

1. The short version

We handle other people's private information for a living — yours, and the information of the clients you serve. So we treat data the way we expect our own to be treated: collect only what the work needs, use it only for the work, and never sell it to anyone.

This page explains exactly what that means. If anything here is unclear, email support@virtualizers.io and we will answer in plain words.

2. Who we are

The Virtualizers is a virtual assistant agency. When you engage us, we and our Virtualizers process information on your instruction to deliver the services you hired us for. For the data we collect about you as a customer or visitor, we are the controller; for your business data we process under your direction, you remain in control and we act as your processor.

3. What we collect

Contact details. Your name, email address, company, and anything you give us when you enlist, through our forms, or over email and calls.

Newsletter details. If you join the Field Dispatch, we store your email address and subscription status until you unsubscribe.

Working data. The account access, credentials, documents, contacts, calendars, and other business information you share so we can do the job — inbox, CRM, bookings, expenses, and the like.

Usage data. Basic technical information when you visit our site or use the client Portal — pages viewed, device type, and similar. We do not build advertising profiles on anyone.

We do not knowingly collect data from anyone under 16, and we do not collect more than the engagement requires.

4. How we use it

To deliver the services you engaged us for — that is the core purpose, and it covers everything from answering your inbox to booking your travel.

To run our business: invoicing, engagement records, quality control on our Virtualizers' work, and support when you write to us.

To send the Field Dispatch when you ask for it. You can unsubscribe from any dispatch or by emailing support@virtualizers.io.

To keep things secure: protecting accounts, preventing abuse of our forms and systems, and investigating incidents.

We do not use your data to train public AI models, and we do not sell or rent personal information to anyone, ever.

5. Who we share it with

Inside the team, on a need-to-know basis: the Virtualizer assigned to you and the people supervising the work. Nobody else sees your working data by default.

Service providers we rely on to operate — such as email, hosting, and tooling vendors — only get what they need to provide their service, under confidentiality obligations.

Third parties when the work itself requires it, on your instruction: the airline we book with, the CRM you told us to update, the vendor we chase for an invoice.

Authorities, only where the law compels it. If that happens, we tell you unless we are legally forbidden to.

6. How long we keep it

Working data is kept only as long as the engagement needs it, plus a reasonable period for handover and record-keeping. When you end an engagement, we return your materials on request and delete our working copies.

Billing and engagement records are kept as long as law and accounting rules require. Everything else goes when it is no longer doing a job.

7. How we protect it

Access is limited to the Virtualizer assigned to you and their supervisors. Credentials are stored securely, never shared across clients, and changed or revoked by you at any time.

We use industry-standard practices — encrypted transport, access controls, and supervised operators — and we review our safeguards as the tools change.

No system is unbreakable. If something goes wrong, we will tell you what happened, what data was involved, and what we are doing about it, without spin.

8. Cookies and analytics

Our website uses only the cookies it needs to function, plus privacy-respecting analytics to see which pages are useful. No advertising trackers, no cross-site profiling.

You can block or clear cookies in your browser; the site will keep working.

9. Your rights

You can ask us for a copy of the personal data we hold about you, ask us to correct it, or ask us to delete it — subject to the records we must legally keep.

You can object to how we process your data or ask us to restrict it while we sort out a question. We respond to every request within 30 days.

To make a request, email support@virtualizers.io. We may ask you to verify who you are before we act — that is for your protection, not bureaucracy.

10. Changes to this policy

If we change this policy, we post the updated version here with a new effective date. If a change materially affects how we handle client data, we notify affected clients before it takes effect.

11. Contact

Privacy questions, data requests, or anything you want explained: email support@virtualizers.io. A human reads it.
